Hiring Now: Executive Assistant

Our company is searching for an experienced, task-oriented Executive Administrative
Assistant. The Executive Assistant will provide high-level administrative support to
ASNOA’s C-level executive team and oversee all office management needs and
requests. The EA will act as the main point of contact for all travel and meeting
arrangements, requiring initiative and sound decision-making skills. The ideal candidate
is organized, detail-oriented and capable of managing their work load and prioritizing
tasks in a fast-paced corporate environment.
• Provide C-Level Executive administrative support for multiple execs including
booking travel arrangements, organizing calendar/scheduling meetings, handling
correspondence, conducting research, preparing reports, arranging conference
calls, developing itineraries, agendas and other presentation/meeting needs
• Manage ASNOA’s Annual Sales Conferences and Trade Shows across the
United States by working with hotels and vendors negotiating contracts,
coordinating A/V and catering, organizing speakers, sponsors and agendas with
the team, maintaining distribution and registration lists, preparing meeting
materials and more
• Coordinate internal meeting logistics including scheduling, catering, A/V,
presentation and/or meeting materials and office calendar
• Oversee all office management requests including ordering supplies, maintaining
office inventory and acting as liaison between building management and ASNOA
requests
• Act as front desk receptionist by welcoming guests and customers, answering
phones and directing calls, sorting and distributing mail
• Uphold a strict level of confidentiality handling C-Level correspondence and
needs
• Develop and sustain a level of professionalism among staff, clientele and vendors
• Perform additional administrative duties & functions as required by executive or
department needs
Required Qualifications and Skills
• Associates or Bachelor’s degree in business or relevant field required
• Minimum of two years administrative or executive assistant experience required
• Previous experience managing travel and schedules in a professional capacity
required
• Professional proficiency with Microsoft Office (Outlook, Word, Excel, Power Point)
is a must
• Demonstrated ability to manage multiple projects with competing deadlines, and
the ability to reprioritize as necessary
• Excellent organizational skills with an ability to think proactively and prioritize
work
• Proactive self-starter; able to develop solutions to complex matters and
brainstorm new ideas independently as well as on a team
• Ability to work in a fast-paced busy ever-changing environment with strong time
management skills
